A dozen rent receipts scattered across WhatsApp, email attachments, and camera roll screenshots technically exist, but good luck finding "March 2025" quickly when you actually need it. A little structure turns scattered files into something genuinely useful.
One folder, one naming convention
A single cloud folder (Drive, Dropbox, whatever you already use) with files named consistently — "2026-06-Rent-Receipt" — makes any specific month instantly findable without opening a dozen files to check dates.
Save as PDF, not just a photo
A properly generated PDF stays crisp and readable indefinitely, unlike a phone photo that can be blurry, poorly lit, or oddly cropped. If a receipt only exists as a photo, convert or re-save it as a clean PDF while it's convenient to do so.
Back up in two places, not just one
A single cloud folder is good; a cloud folder plus a periodic email-to-self or secondary backup is genuinely safer. Losing years of rent records to one deleted account or a forgotten password is an avoidable, entirely preventable loss.
Review the folder once a year
A quick annual check — are all twelve months actually there, nothing missing — catches a skipped receipt while it's still easy to track down, rather than discovering a gap years later when it's needed for something important.
Share access with whoever might need it
For a shared household or a family member helping with paperwork, giving trusted people access to the same folder avoids a single point of failure where only one person knows where everything is kept.
